Cancellation Policy

As the person booking the service, I acknowledge that this is a REQUEST to book, and a confirmation of Date and Time will be discussed and sent by Gray’s Cosplay. Requesting to book an available Date and Time does not count as booking. Bookings are completed at an in person meeting, where a deposit is received and waivers are signed. Bookings are not confirmed until a deposit is made. Upon Requesting a Booking, you will receive an email within 1-3 days to arrange an in person meeting to discuss Party Details. I acknowledge that I am booking one of three current services with Gray’s Cosplay, and anything beyond the services shown may incur extra costs. In any cases of the same Date and Time being requested by multiple people, the first person who requested the booking will be contacted first. If the first person to request the booking does not respond to confirm an in person meeting within 12 hours, then the priority is moved to the next person who requested the booking. Gray’s Cosplay allows for a 5 minute buffer time for events (before event and after - ie: in case of costume difficulties, traffic, etc) During the party, the hosts must be responsible for timing and letting the cosplayer know when the time is expired for the booking (15, 30 or 45 minutes, as agreed upon during booking) As the time is expired, the cosplayer may choose to use the 5 minute buffer to say goodbye to guests. If the time limit is not given to the cosplayer at the appropriate time, then the host may be charged extra, according to the amount of extra time used. There are times that there may be several bookings in a day, and extra time is NOT allotted or permitted. For parties that are outside of the City of Brockville, there will be an extra charge for Travel and Fuel. This is set at $0.70/km, and is set according to the CRA travel rates for 2024, with a minimum fee of $10 for ANY travel outside of the City of Brockville.
